There will be times when you need to share negative/bad news.  With a routine request or response, we use a direct approach when answering questions.  When the news is upsetting, unexpected, or could result in conflict, it is often recommended that the writer utilize the indirect strategy Links to an external site..

For sharing negative news  - there is a very specific format that needs to be used:

Buffer - 1st paragraph

Reasons - 2nd paragraph

Bad News - 3rd paragraph

Forward-looking close - 4th paragraph
